Asterion helps firms map intake readiness, missing-document follow-up and handoffs around the tools they already use. We check the built-in software path first. We do not provide tax advice, prepare or file returns, sign or transmit filings, or make professional judgments.
WHO THIS IS FOR
A practical fit for a busy firm owner.
This page is for an owner, practice manager or operations lead at an accounting, bookkeeping or tax firm who can show one recurring handoff and name the person who reviews it. The service, return type, current tools, permissions and professional boundary still need to be confirmed.
Who it is not for.
It is not for a firm looking for tax advice, a return calculation, an automatic filing decision, a fabricated signature, a payment action or a promise that software replaces a qualified reviewer.
WHERE THE WEEK GETS STUCK
Three workflows worth looking at.
ACC-01 / INTAKE READINESS
Know what is ready to work.
A signed engagement, a recurring period or an authorized organizer starts the request. Staff then match the client, entity and period before asking for documents or clarification.
Repeatedly matching email attachments to a portal checklist
Wrong entity or year, duplicate or unreadable files
A reply lands in the wrong inbox and no one owns the next step
A bookkeeper matches an authorized statement or feed to the ledger. An accountant or reviewer investigates the difference, approves any correction and keeps open issues separate from a reviewed close.
Duplicate or missing transactions and opening-balance mismatches
Period cutoff, currency, transactions between related entities or a feed outage
A balancing entry that hides an unresolved difference
Separate prepared, signed, transmitted and accepted.
A tax engagement moves from intake to preparation, qualified review, taxpayer authorization where required, transmission by the firm’s authorized electronic-return originator (ERO) and acknowledgment or rejection handling. Each state has a different owner.
Missing or withdrawn authorization and identity/signature failure
Changed data after signature, a rejected or duplicate transmission
A late document that does not authorize bypassing review
Configure: test the practice-management software (the system that holds client work and requests), accounting software or tax software’s requests, reminders, matching, review and status features.
Connect: if a demonstrated gap is only a handoff, join approved systems with minimum metadata, visible failures and a named owner.
Build: create a bounded internal tool only for the remaining documented gap, with an acceptance test and a manual fallback.
01Native check
Show the exact product, version, plan and configuration.
02Residual gap
Describe a normal case, an exception and the consequence.
03Controlled change
Keep judgment, authorization and filing actions with the accountable human.
AI may help classify an intake message, draft a missing-item request for approval or surface a discrepancy. Plain automation is better for deterministic IDs, required fields, duplicate checks, task routing and status handoffs. Existing software is better when it already owns the record, reminders, reconciliation history or filing queue.
CONTROL AND EVIDENCE
Review stays with people.
Human review
A qualified firm reviewer decides readiness, accounting adjustments, return content, authorization, transmission and acceptance. A deadline never authorizes a bypass. A draft message or classification waits for a person.
Data ownership
Use only the firm’s approved accounts and minimum metadata. Confirm client use and disclosure, data owner, permitted processor, access roles, retention/deletion, outside vendors that process the firm’s data and incident handling. Tax preparers should review their security plan and applicable professional obligations.
What we inspect before quoting
One normal and one exceptional case with category-level evidence only
The actual product/version/plan and built-in configuration
Entity, period, company and status identifiers; no client records
Who may approve, who owns the data and what access is supported
A bounded acceptance test, support owner and manual fallback
THE BUSINESS SYSTEMS REVIEW
Bring one stubborn handoff.
In the complimentary 30-minute review, you show where intake, close or status work moves today. We identify the real owner, the exception that matters and whether the current software is already enough. If a project is justified, scoping is free and the written proposal comes later. If not, the answer can be a built-in configuration, a process change or an honest no.
Likely deliverables depend on what the evidence supports:
A workflow and exception map with named human checkpoints
A built-in configuration checklist for requests, reminders, matching or status
A read-only discrepancy view or metadata-only handoff, if a supported gap remains
A bounded internal tool with tests, documentation and manual recovery
Dependencies include firm-authorized access, approved storage and processing, stable identifiers, vendor support, representative synthetic cases, review ownership and an agreed acceptance test. No deliverable includes tax advice, return preparation, signature, transmission, payment or autonomous professional judgment.
Everything in this example is fictional. In a monthly cycle, staff see 25 work items and six are not ready: four await statements, one has the wrong period and one has an unassigned portal reply. The first check is the existing request and assignment configuration. The wrong-period case stays with a reviewer. A synthetic test rejects it and suppresses duplicate tasks; no tax document is uploaded, no journal entry is posted and no filing or savings claim is made.
No. Asterion does not provide tax advice, prepare or file returns, sign, transmit or accept filings. We can discuss a permitted a handoff of status fields without taxpayer documents or reviewer checklist only after the firm confirms its provider, license, authority and boundary.
Should we replace our practice software?
Start with the practice-management system you already own. If its configured requests, reminders, portal, reconciliation history or status queue handles the handoff, you do not need Asterion. We inspect one normal case and one exception; only a documented gap moves to a supported connection or bounded build. Configure, connect or build Book a Business Systems Review
Are we too small for custom work?
There is no firm-size minimum. For a 5–50-person accounting, bookkeeping or tax firm, one recurring handoff with a named reviewer is enough to examine; the review may end with a built-in setting, process change, scoped implementation or honest no. We do not promise affordability or a project before workflow, access, professional review and acceptance are clear. Book a Business Systems Review
Is AI safe with client or taxpayer data?
Use client and taxpayer information only under the firm’s approved account, processor, retention and role-access rules; use categories or synthetic cases in the first conversation. AI may classify an intake message, draft a missing-item request or surface a discrepancy, but it does not make tax judgments, approve adjustments, sign or transmit a return. Built-in rules are better when the data should stay in the practice or accounting system. AI adoption boundaries Book a Business Systems Review
Can AI reconcile accounts for a small firm?
It may help surface or explain a discrepancy for review, but it should not post an adjustment or decide that an account is reconciled. Start with the accounting system’s matching and reconciliation history, keep the qualified reviewer in control, and test one normal difference plus one exception before considering a bounded handoff. What should we bring to the review?
Bring one normal case, one exception, the current tools, the person who reviews it and what “ready” means. Leave out passwords, client records, taxpayer identifiers, statements and return data.
Bring the messy process, something new you want built, or the question of where AI fits. We will work through whether there is a sensible way to improve it.
