TRUCKING & TRANSPORTATION

Move the load evidence.
Keep the decision visible.

Asterion helps carriers and transportation operators examine the handoffs around dispatch changes, delivery evidence and maintenance exceptions. We start with your current transportation management system (TMS) and operating rules, then decide whether configuration, a supported connection or a bounded custom tool is justified.

A PRACTICAL FIT

For owners and operators
who need the next handoff clear.

Useful for a small or mid-size carrier, transportation operation or a broker whose specific workflow has been confirmed. Bring one recurring process and the systems, people and documents it touches.

Who it is for

  • A carrier operations or billing lead who needs a completed-load packet visible for review.
  • An owner who sees changed tenders, documents or asset status crossing several people or tools.
  • A team willing to name the source of truth, the exception owner and the evidence needed before the next step.

Who it is not for

  • Someone seeking automatic dispatch, invoice submission, factoring, payment collection or safety clearance.
  • A visitor asking us to infer a defect from a telematics ping or to bypass a customer, driver or maintenance decision.
  • A team that has not yet identified its installed TMS, permissions or accountable reviewer.

THREE PLACES TO LOOK

Where the week
can lose the thread.

These are workflow hypotheses from the reviewed trucking pack, not a finding that every carrier has a software problem. Confirm the normal path and one exception before choosing a fix.

01 / RECURRING WORKFLOW

Order acceptance, planning and dispatch exceptions

A tender arrives, changes or is cancelled. The useful question is where the accepted load, its revision and the accountable dispatch decision live. Re-entering a customer change may be friction; checking capacity, equipment or a safety constraint is judgment that should stay visible.

Watch for: duplicate or changed tender · wrong bill-to or location · equipment or driver availability · appointment change or cancellation

02 / RECURRING WORKFLOW

Delivery evidence to bill-ready load

A delivered load is not automatically bill-ready, accepted or paid. Operations may need to match a load ID, bill of lading (BOL), proof of delivery (POD) or receipt and agreed rate or extra-charge terms before billing review. A missing or unreadable document, wrong load, duplicate photo or customer portal rejection needs a named queue and a person who can resolve it.

Watch for: missing or illegible POD · wrong load or duplicate document · disputed detention or another extra charge (accessorial) · customer acceptance or destination change

03 / RECURRING WORKFLOW

Defect and maintenance exception follow-through

A defect report or inspection should reach the maintenance owner, a permitted disposition and dispatch visibility. Clearing an alert is not repairing a vehicle. Safety-critical defects, stale status, duplicate reports and third-party assets need the carrier’s existing escalation and qualified human decision.

Watch for: safety-critical or unresolved defect · wrong asset or duplicate report · part unavailable or leased asset · record marked complete without repair evidence

CONFIGURE → CONNECT → BUILD

Check the carrier’s
built-in software path first.

We do not assume a transportation management system (TMS), telematics product or document tool is installed, licensed or configured the same way everywhere. See how we approach integrations and AI and automation in the wider service guide.

CONFIGURE → CONNECT → BUILD

Use what already works first.

Every engagement starts by checking the existing system. A reliable native feature may end the recommendation. If the gap remains, we decide whether configuration, an integration or custom software is proportionate.

01Configure

Use an existing capability when it handles the need with acceptable control.

02Connect

Join approved tools when the handoff is the actual problem.

03Build

Create a bounded application only for the documented remaining gap.

What we inspect before quoting

  • The exact product, version, plan, modules and current configuration.
  • Load, document, asset and revision identifiers; source-of-truth rules; required fields and retention.
  • Supported application programming interfaces (APIs), exports, electronic data interchange (EDI) or licensed integrations, plus latency, outage and duplicate behavior.
  • Who owns rate, document, customer-acceptance, maintenance and decisions about whether a vehicle may return to service.

Where AI may help

  • Read and classify an incoming document or note, then show the extracted load context for review.
  • Draft an exception summary or route an unmatched item to the right queue.
  • Surface a mismatch across approved records without changing the authoritative status.

Plain automation or an existing TMS/document feature is better for fixed validation, status transitions, required fields, and licensed document or EDI flows. AI is useful only when the uncertainty and review boundary are explicit.

Data ownership and permissions

The carrier or authorized counterparty remains the data owner. We use minimum necessary fields, named roles and permitted access. Do not send driver license or medical records, location histories, customer freight documents, portal passwords or bank/factoring details to this public worksheet or review request.

THE BUSINESS SYSTEMS REVIEW

Bring one load handoff.
Leave with a next check.

In a complimentary 30-minute review, we walk through what happens today, the normal case, one exception and the consequence of a missed handoff. We separate delivered, bill-ready, customer-accepted and paid states, then decide whether to configure, connect, scope a build, investigate a major unknown or stop.

Likely deliverables

  • A bounded workflow map with owners, inputs, outputs and exception states.
  • A built-in-feature-first recommendation and, if justified, a supported integration or custom-tool scope.
  • Acceptance tests for duplicate, wrong-load, unreadable-document, outage and stale-status cases.
  • A handoff note naming data owners, permissions, manual fallback and the person who accepts the result.

Third-party access, customer requirements, licenses, retention and safety procedures remain dependencies. No implementation, invoice, payment or dispatch action follows from this review.

FICTIONAL EXAMPLE

North Lantern Freight
checks a bill-ready packet.

All entities and figures here are invented. This is the trucking/logistics simulation on Examples, not a client result.

A fictional small carrier reviews 50 delivered loads: five wait, with unreadable PODs, a disputed accessorial and a customer-acceptance error in the invented breakdown. The first step is checking built-in document capture and required-document setup. A test using invented records leaves an unknown load ID in review; no invoice is submitted and no cash or savings claim is made.

VISIBLE QUESTIONS

Answers before
you book.

Still unsure? Bring the workflow to a review →

Can a telematics event prove delivery?

No. A location or telematics (location or vehicle data) event is not a shipper’s accepted proof of delivery. We would identify the required evidence, its source and the person who verifies it.

Can you connect our transportation management system (TMS) and billing workflow?

Possibly, after checking the installed product, plan, modules, supported interface, document requirements, permissions and exception path. A vendor page does not prove your tenant has the capability or that a connection is authorized.

Will this automatically invoice loads or clear maintenance defects?

That is outside this page’s promise. Invoice submission, customer acceptance, payment and decisions about whether a vehicle may return to service remain separate human-controlled states.

What if our current transportation management system (TMS) already handles this?

Start with the TMS you already own. If its configured dispatch, document, status or licensed connection handles the handoff, you do not need Asterion. We inspect one normal load and one exception; only a documented gap moves to a supported connection or bounded build. Configure, connect or build → Book a Business Systems Review →

Are we too small for custom work?

There is no fleet-size minimum. For a 5–50-person carrier or transportation operation, one recurring handoff with a named owner is enough to examine; the review may end with a TMS setting, a process change, a scoped implementation or an honest no. We do not promise a project before the workflow, access, safety boundary and acceptance test are clear. Book a Business Systems Review →

Is AI safe with our driver, freight or shipper data?

Use driver, location and freight records only under the carrier’s approved account, processor, retention and role-access rules; do not send real records in the first conversation. AI may classify a document, summarize an exception or draft a review note, but it does not dispatch a vehicle, clear a defect or accept a load. A fixed TMS/document rule is better when data must stay in its system or the action is safety- or customer-consequential. AI adoption boundaries → Book a Business Systems Review →

How do we match proof of delivery to a load?

Match the load ID, bill of lading, proof of delivery and agreed rate or extra-charge terms before treating a packet as ready for billing review. Wrong-load, duplicate, unreadable or out-of-order documents stay with a person; delivered is not the same as bill-ready, customer-accepted or paid. Check the built-in TMS/document path first, then bring one normal case and one mismatch. Configure, connect or build → Book a Business Systems Review →

Do brokers fit this page?

Some handoffs may be relevant, but this pack is oriented to US motor carriers. Brokerage, owner-operator, shipment type and installed stack must be checked before applying the questions.
